About the event

Memories in Green: an Empire LRP player event
Memories in Green is an Empire LRP social player event hosted by Rosemary Warner and David Proctor OC, and Bronwen's Rest Wayhouse IC.
We will be running a selection of activities and games including a scavenger hunt, competitions, some kind of fighting tournament and music in the evening, with plenty of social time around them.

IC invitation:
The future of Therunin is in grave doubt, with Druj infesting all the land the vallorn does not, and there will be no armies this winter to change that.

But Bronwen's Rest still stands for now, and in the core of the Navarr people there is defiance, music, and celebration. The Druj wish us to lose hope, to bow our heads- and whatever happens to the Rest and to Therunin, we will not give them what they want. Through Virtue and through the bonds between us we will rise above the fear they spread.

So, join us behind a shroud of Night magic for a day and evening of good food, music, games and company. Whatever happens to the buildings, the spirit of Bronwen's Rest is in the people who live there and those who visit us. And it will endure.

PS: Yes, this is a party technically behind enemy lines. No, we don't expect to be under attack- for starters there are barely any Druj left on the west side of Therunin, and for seconds, my forest is under a Vale of Shadows so they can't find the steading. Geraint's caravan is similarly enchanted, so we expect to get those of you who can't risk making your own way in and out to travel with him. Meet at Micah's Stand.

Logistics etc:

Cost and booking
Costs: £80, catered Saturday breakfast to Sunday breakfast
Day trip only cost: £45 (inc Saturday food)
Concessions available: no more than £30 staying over, £20 day trip.
50 spaces available for indoor sleeping, another 20 (ish) day tickets.
Additional outdoor camping possible if we get really full, but it *is* January!

Anybody is welcome to book.
To avoid a stressful booking rush, bookings will be open for a week in October (dates TBC), and a list will be announced after that. This will be some combination of people who've been invited personally and a selection for the remainder of the places so that booking early isn't any help. Once a player list is out, people can confirm attendance and we’ll send out payment requests.
If you cancel before Dec 12th we'll give you a full refund, after that only if we can resell your ticket.

Young Players
Attendees of any age are welcome; under 5s can come for free and under 16s will always count as concessions.
As sleeping is in communal dormitories we recommend that children don't stay on site; the budget hotel option would be the Newmarket Premier Inn, about 1.5 miles away.

Timings
Friday will be OC, people can turn up from 4pm and socialise, we'll have drinks and biscuits available. Please take care of your own food on Friday, there are local takeaways, etc. that we can point out at the time or you can use the oven to heat up a ready meal.
Time In will be from about 10am on Saturday until people go to bed. Sunday will be OC with breakfast provided.

Location and travel
There is ample parking at the Jarman centre.
Newmarket railway station is 1.5 miles from the centre, about 5 mins drive. We hope people will be able to arrange lifts on the Facebook event where needed but we can provide them too. Lifts back as far as Cambridge will be appreciated on the way back because the Sunday train service isn't great.

Access information
If you have any particular questions not covered here, please ask and we'll update this with the answers.
It's possible to park very near the centre and it’s possible to pretty much unload onto a paved surface that takes you to the main entrance, if you need us to reserve you a space to make this possible, please let us know.
There a step into the centre at the main entrance, but there is a level entrance available at the back. Otherwise, the bottom floor of the centre is very flat and has no significant steps, it will be the main IC area. Sleeping is in communal dormitories, some with bunks, some with mattresses on the floor. A lot of the sleeping is upstairs, some is downstairs, please indicate if you need downstairs sleeping and/or a bottom bunk as an access requirement and we will arrange this.
While the main areas of the venue are accessible on wheels, the corridors and doorways around the bedrooms, and the bedrooms themselves, are quite narrow. It will not be possible to leave a non-folding wheelchair/scooter in or just outside a bedroom overnight. The distance from the bedrooms to the IC area is 5-10m; if this is an issue we will move your mobility aid to and from the bedrooms as necessary.
There should be ample seating at all times. There is also an accessible toilet and shower.
We will have the windows open when possible for ventilation due to Covid-19 but the heating is good quality so we don’t anticipate it being freezing cold.
The woodland surrounding the centre is relatively flat but it does not have good trails. The fighting is the only activity planned to be outside but you can use the outside space if you want to.

Food and drink
We will provide drinks and snacks on Friday evening, 3 meals on Saturday, and breakfast on Sunday. All dietary requirements will be catered for.
We'll provide soft drinks, and you're welcome to bring your own drinks, including alcohol. Please don't get drunk.
If possible please bring your own cup; we will have a few to lend out to those who can’t.

OC rules
Outdoor shoes may not be worn in the building (this is a site rule imposed on us!). If you have very very clean shoes, it’s fine to wear them inside, but if you go out in them, you need to take them off when coming back in. You can leave outdoor shoes in the porch.
Covid-19: You must have a negative covid test taken on the day you arrive at the event to attend. Don’t comment on other people’s choice to wear (or not wear) a face covering.
Regular Empire rules apply. We don’t expect to have any permanent refs. We are expecting the event to be sanctioned in order to have crew not playing their regular characters, but aren’t planning to run any plot.
Fighting is OC allowed except in the kitchen! People may be IC upset if you fight indoors but this is an IC problem. If you fight in a crowded place, please be careful of drinks, etc.
Officially, the event is run under the regular Empire E&D policy https://www.profounddecisions.co.uk/equalityanddiversity and conduct rules: https://www.profounddecisions.co.uk/empire-wiki/Conduct with the modification that any issues should be reported to either Rosemary Warner or David Proctor and will be dealt with by some or all of them as appropriate. This includes issues before or after the event or with attendees.
More generally, if anybody takes the piss or makes others uncomfortable, we'll use our judgement about whether to tell them to stop, throw them out or take further action. We also reserve all rights to decide who does and doesn't attend with or without giving reasons.
We’re open to discussion on whether there are better options for this, but realistically if the above is totally unacceptable to you, your best option may be not to book.
