Following on from Becki’s post last week we have decided to hold ad AGM after Toddler group on Thursday 17th July. This will run from 11.45-1PM the village hall, where we will provide a light lunch of sandwiches, tea and coffee and keep some toys out to entertain little ones.
This meeting is vital to the future of the Steeple Claydon Baby & Toddler Group. As both Co Chair positions and the role of Treasurer will be resigning from their posts and these positions will need to be filled for group to restart after the school summer holidays in September. If you would like to see the group continue, I strongly implore you to attend.
I have outlined the role and responsibilities of each position below.
Co Chair positions x2 – Must be filled
- General group admin including: Hall booking, managing insurance, creating and updating risk assessments, managing mailbox
- Group planning: ensuring snack is purchased and a theme and craft activity planned each week either by self or delegated to another committee member (This is done on a termly basis) Where we have bigger celebrations this may involve planning and bringing in stalls and crafts.
- Group representation: Regularly attending and updating the Parish Council meetings of groups progress and needs as their support has been valuable over the last couple of years.
- Group Marketing: managing social media, posters, magazine and other group interactions for regular marketing of group to increase numbers
Treasurer x1 – Must be filled does not need to be an active group member
- Cashing up and paying in cash tin on a termly basis
- Managing and tracking our digital payments on a weekly basis
- Tracking spend (snack, materials & equipment) and updating group and council on a monthly basis. Some purchases may need to be made directly through treasurer.
- Managing overall accounts and relationship with banks and partners
- Payment of any invoices
Supporting committee members – These can be parents who commit to lending a hand with set up and close down, preparing snack, managing the till, cleaning etc. If we have around 5-7 this relieves pressure across all, meaning you don’t need to commit your time every week but we do require you to be active members of the group on a regular basis.
This meeting is open to anyone who has an interest in the future of the group, not just those that currently attend. We have said repeatedly over the last 6 months that group cannot run without the support of the community. These groups have been closing in surrounding villages since January and it would be so sad to see this one close after more than 40 years. Please help us to keep it going!
