Thank you for applying to be part of the Downtown Comox Winter Market 2025. This year we are closing Comox Ave from Port Augusta St to Nordin St to provide space for market booths, entertainment, and for the attendees of the Mayor Tree Lighting to spill into the street. We will also be placing booths on the old Lorne site (the grass area on the corner of Port Augusta Ave and Comox Ave).
With your booth fee, the Downtown Comox BIA will provide:
Rules and Understandings:
1. Event starts at 3pm and ends at 7pm. Vendors must stay open for the entire event. Set-up permitted after 1pm, vehicles must be off the street no later than 2:30pm and will not be allowed back until 7pm.
2. Please understand that the event mandate is first and foremost to promote Downtown Comox BIA member businesses. Non-BIA member artisan products must be hand-made or produced by the applicant -- imported hand-crafted items are not eligible for inclusion in the market. All applicants will be reviewed and determined if they will be approved to participate within 7 days of applying. By submitting this application, it does not guarantee admittance. A separate email will be sent to confirm you've been approved within 7 days of receiving your application. If in this application the vendor does not accurately describe their product and is selling a manufactured product that is in conflict with a Downtown Comox BIA business, they will be removed from the event without a refund. There are limited-information based / non-profit vendor spots, make sure you apply early and priority will be given to those that are non-political and those who have giveaways / activities to engage attendees.
3. Booth space is 11’x11’ (great for a 10'x10' tent) and will be assigned a few days prior to the event; a confirmation email will be sent then with an event map. On the afternoon of the event participants will find their placement by name or number written on the sidewalk beside their space. We do our best to accommodate all vendor needs and therefore your spot may change due to last-minute needs. We appreciate your cooperation in this.
Please note: This is a rain-or-shine event, be prepared for all weather. You are required to supply your own tent, tent weights for wind, and remove all garbage from the site. If you need to rent a tent, you may call All in One Party Rentals -- at your own cost (they will be delivering other items on the day of the event).
**TENT WEIGHTS are mandatory for all vendors. We will be checking to make sure you are prepared. We can turn you away if you are unprepared on the event day for the safety of our attendees and fellow vendors.
4. BIA Members have first right of refusal to space in front of their business, but ONLY if they submitted applications by the noted deadlines.
5. Electrical power is limited. If you require power for your booth, you need to indicate what appliances you want to use during the application phase. All electrical appliances or equipment must be CSA/ULC certified. High wattage electrical plug-in appliances that contain heating elements and/or motors are not permitted. Electrical cords must be in good condition and fully taped down any place where they may cause a tripping hazard. If you plan to use a generator, it must conform to quiet operation sound levels, and will likely affect the location of your booth. Booth Lighting Recommendation: Sunset on November 21st is at 4:30pm, so remember to bring adequate lighting for your booth. We highly recommend battery-powered light(s) for easy set-up and reliability.
6. No cars may be parked in the street during the event. All cars must be parked as far out of the downtown core as possible to allow customers the use of prime space during the event. Please do not park in the mall parking lot.
7. Event insurance is mandatory for all market vendors.
All vendors are required to have event liability insurance with a minimum of $2,000,000 coverage. You will need to add the following as ‘Additional Insured’ on your policy.
