ROOM 1: Club Governance - Meeting Structure and Committee Roles
Host: Margot Foster AM OLY

Info: Margot Foster AM OLY is an Olympic medallist, lawyer and highly experienced sports administrator with over 30 years’ involvement in sport governance.

Strong and effective club committees don’t happen by accident. They are built on clear roles, well-run meetings and decisions that everyone agrees with.

This practical session focuses on how club committees actually operate — and how small improvements in structure and behaviour can make a significant difference to both effectiveness and enjoyment. Participants will explore:

• who decides what, and why clear authority matters

• the difference between committee responsibility and operational tasks

• how to structure agendas so meetings lead to decisions

• voting, consensus and recording outcomes properly

• minutes and action lists that reduce re-work and confusion

The emphasis is on practical tools that make volunteering easier and meetings more productive.

ROOM 1: Grant Writing for Sporting Clubs
Host: Andrew Hamilton (Red Tape Busters)

Info: Being Grant Ready. What does my organisation need to have in place to be grant or ‘shovel’ ready for when a suitable grant opens? We will also look at the grant landscape and what’s been relevant to community organisations in the last 12 months and what the grant landscape is likely to look like into the future, and how we can utilise tools such as Artificial Intelligence to assist grant writing.

ROOM 1: Youth Retention and Engagement - Coaches Perspective
Host: Shane Pill (Flinders University)

Info: In this session, Shane Pill explores the critical role coaches play in retaining young people in sport and recreation. Drawing on his extensive experience in coach education, physical education, and community sport, Shane will unpack practical strategies to create positive, engaging environments that keep young participants involved beyond the early years. Delivered in an all-sport context, this workshop will help coaches and volunteers better understand youth motivations, improve communication and connection, and adapt coaching approaches to support long-term participation and enjoyment.

ROOM 1: Club Governance - Constitution and Policy Development
Host: Margot Foster AM OLY

Info: A club’s constitution is its foundational rulebook. Policies provide the day-to-day direction – both on and off the field of play.

This session helps committee members understand the role of each — and how to modernise them without creating unnecessary complexity. It will cover:

• what belongs in a constitution (and what doesn’t)

• the role of policies in supporting consistent decision-making

• moving from outdated by-laws to clearer, practical policies

• how strong documents protect volunteers and the club

• simple steps for reviewing and updating governance documents

The focus is clarity, relevance and future-proofing — not paperwork for its own sake.

ROOM 2: Succession Planning for Sport and Recreation Clubs
Host: Kat Ingram

Info: As a key leader or volunteer within your sporting club, you're essential to its success. But what happens if a vital team member steps down unexpectedly - or you're the one ready to hand over the reins? Without a clear succession plan, clubs risk leadership gaps, lost knowledge, volunteer burnout, and disrupted momentum. The good news? You can help prevent this with a proactive, practical approach to planning for the future.

In this workshop, you'll gain the tools and understanding to build leadership continuity and safeguard your club’s sustainability. You’ll learn how to:

• Understand what succession planning is - and why it matters

• Identify the core elements of a succession plan

• Start developing a succession plan tailored to your club

Leave this session with a clear direction and the beginnings of your club’s own succession plan - plus practical steps you can take straight away. Ensure your legacy continues and build a stronger future for your club.

ROOM 2: Child Safety for Sport and Recreation Clubs
Host: Kat Ingram

Info: Child safety is everyone's responsibility, and sometimes clubs can often feel overwhelmed by the numerous legislation, policies, regulations, and compliance requirements at state and national levels. From the obligations set by sporting organisations to the specific requirements of the South Australian Government, it can be challenging to know where to start or what exactly your club needs to do. This workshop is designed to be practical, not just informational. You'll learn:

• How to identify potential risks within your club and understand your responsibilities under relevant legislation and policies

• Strategies to reduce, minimise, or eliminate those risks effectively

• How to develop a straightforward, practical Child Safety Risk Management Plan to guide your club’s ongoing safety practices

Leave equipped with the tools and confidence to put those safety practices into action through a Child Safety Risk Management Plan.

ROOM 2: Women in Sport
Host: Julie Anderson

Info: The Marjorie Jackson Nelson Centre for Women in Sport was established to assist in the underrepresentation of women in sport as athletes, coaches, officials, administrators, volunteers, and board members. It was identified as there was a need to close the ‘gap’ and provide more opportunities for women to lead and play sport. Hear from the people involved in the establishment and growth of the centre and what it has to offer regional participants and clubs.

ROOM 2: Recruiting and Retaining Volunteers
Host: Emma Vallelonga (Volunteering SA/NT)

Info: This workshop will equip you with practical, evidence informed approaches to build a volunteer program where individuals feel genuinely valued, connected, and motivated to contribute their time and skills. You will gain insight into how to create an organisational culture that nurtures volunteers from the moment they first engage with your organisation through to long term involvement.

Throughout the session, we will explore proven strategies for effective volunteer recruitment, onboarding, training, and ongoing support. We’ll examine how to design meaningful roles, communicate purpose clearly, and foster an environment that promotes belonging and recognition. Our focus will be on strengthening volunteer engagement and ensuring volunteers feel appreciated, empowered, and confident in their contribution.

By the conclusion of this workshop, you will walk away with practical tools, templates, and insights to help you develop a resilient and thriving volunteer culture.

Equipping Community & Sporting Groups for Safe Food Practices
Host: Michelle Jordan (District Council of Loxton Waikerie)

Info: This workshop, Equipping Community & Sporting Groups for Safe Food Practices, provides practical guidance on preparing, handling, and serving food safely at community events. Participants will learn essential food safety principles, common risks to avoid, and simple steps to ensure compliance with local requirements, including the 2023 Standard 3.2.2A Food Safety Management Tools. The session focuses on real world scenarios relevant to volunteer run activities, helping groups understand their obligations, identify any gaps, and confidently deliver safe food to their members and the wider community. This session is designed for volunteers, committee members, event organisers, and food handlers involved in community groups, sporting clubs, fundraising events, and other not for profit organisations that prepare or serve food.

Shaded Hard Courts: Concept Driven Practice Sessions
Host: Shane Pill

Info: Shane Pill is a highly respected coach and educator who will deliver a workshop focused on core coaching principles applicable across all sports. With extensive experience in coach education, curriculum design and applied coaching across multiple sporting contexts, Shane brings a strong evidence-based and practical perspective to coach development. This session will provide participants with a clear understanding of different coaching approaches and philosophies, equipping coaches with transferable strategies they can take back to their own sport or recreation club.

Room 3: Game Day Coaching Principles
Host: Shane Pill

Info: Shane Pill will also deliver a second workshop focused on Game Day Coaching, providing practical insight into what effective coaching looks like before, during and after competition. Drawing on his extensive experience as a coach educator across multiple sports, Shane will explore decision-making, communication, player engagement and adaptability on game day. This session is delivered in an all-sport context and will equip coaches with practical strategies they can apply immediately to enhance performance, learning and enjoyment within their own club environment.
