Hello,

My name is Grace Herrera, and I am the Executive Director of the Cheyenne Children’s Museum. We are planning a sponsored community day on Saturday, October 17, 2026, and would love to purchase the pumpkins locally through Windy Creek Farm if you can accommodate the quantity we need.

The event will feature a full-size trebuchet that children will use, under supervision, to launch pumpkins in our outdoor yard. We are currently planning for approximately four pallets or bulk bins of pumpkins. If you package or price pumpkins differently, we would appreciate a quote for the closest equivalent quantity—likely approximately 160–200 medium pumpkins.

Because these pumpkins will be launched rather than carved or displayed, cosmetically imperfect pumpkins or “seconds” would be completely acceptable, provided they are intact, reasonably firm, and safe to handle.

Could you please provide a firm, all-in quote that includes:

- Approximately four pallets or bulk bins of pumpkins, or your recommended equivalent quantity
- Estimated pumpkin count and general size
- Delivery to the Cheyenne Children’s Museum at 1618 O’Neil Avenue
- Delivery and unloading on Friday, October 16, if available
- Any applicable taxes, delivery charges, pallet or bin deposits, and other fees
- Confirmation that the quoted amount can serve as a not-to-exceed price through the event date

Our sponsor will provide a one-time award based on the finalized event budget, so we need to include the full anticipated cost now rather than reconcile an overage afterward. If seasonal availability prevents you from guaranteeing an exact count, please provide the firmest not-to-exceed amount you can offer and explain any assumptions included in the quote.

If possible, we would appreciate receiving the quote by Friday, August 28. Please also let me know if you need any additional information from us.

Thank you so much for reaching out to us! We would absolutely love the opportunity to supply the Cheyenne Children’s Museum with Wyoming-grown pumpkins for your community day. It sounds like such a fun event!

I do want to be upfront with you, though. This year has been a challenging one for our pumpkin crop. We were hit by a late hailstorm, and at this point, I’m still uncertain about exactly what our harvest will look like and what we will have available after accounting for the needs of our own pumpkin patch.

I do have connections with other pumpkin growers and suppliers and may need to bring in additional pumpkins for our own event this year. Because of that, I would hate to give you a firm quote right now and then find that I am unable to fulfill the quantity you need.

I would love to keep in touch and see how things are looking as we get a little closer to the season. If our crop comes through better than expected, or if I am able to secure enough additional pumpkins, I would be happy to see if we can make this work for your event.
